Build next year's utility budget from your bills

Start from 12 months of actual cost per account, adjust for known rate changes and occupancy, and keep resident recovery as its own line.

For: Owners, asset managers and property managers preparing budgets

A utility budget that starts from last year's GL total carries every error forward. Start from the bills instead.

Steps

  • Total 12 months of cost per account and service, by month, from the statements (not the GL, which mixes timing).
  • Adjust for known changes: published rate increases from your utilities, new or expiring supply contracts, occupancy plans.
  • Budget resident recovery separately, using your actual recovery rate per utility, not the formula's theoretical one.
  • Note one-time items (a leak, a catch-up bill) and remove them from the base.
